Rather than prescribing a fixed approach, CYANOTYPES offers starting points that trainers can build on to design their own sessions. The methods suggested here are flexible and can be adapted to fit different learners, professional contexts, and available resources. The focus is on hands-on learning, discussion, and reflection—ensuring that learners develop skills they can apply in real-world creative and digital environments.

All of the methods in this section are designed to be applied directly to something the learner is actively navigating—whether that’s a creative project, a professional goal, or a broader life decision. Trainers can begin by asking participants to name a current or upcoming creative project: an exhibition, a performance, a commission, a collaboration, or something entirely self-initiated. This project becomes the test ground for exploring planning and management tools. However, learners are also invited to consider how these tools might apply to their personal direction—how they manage their time and energy across different roles, how they make space for rest or redirection, and how their daily choices reflect what matters to them.

Whether learners are working solo or in small teams, the aim is to build practical habits—light, flexible, and adaptable—that help structure and sustain creative work, while also shaping a professional life that is intentional and sustainable.

To support task prioritisation, trainers can introduce the Eisenhower Matrix or the 80/20 principle. Learners begin by listing everything they need to do on their project, then sort those tasks into categories such as urgent, important, or low-impact. This helps shift focus from reacting to external demands to identifying which actions will truly move their work—and their practice—forward.

But prioritisation also means stepping back and asking: What kind of life do I want this work to support? Learners can be invited to reflect on what they often postpone—not only in projects, but in rest, relationships, or creative exploration. Trainers might ask: What kinds of tasks fill my days but don’t align with my deeper direction? What do I regularly say yes to that leaves me drained?

This process is not just about being efficient—it’s about choosing how to spend time in ways that reflect values and protect wellbeing. By deciding not only what to do, but also what to let go of, learners practise planning that honours both their creative goals and their personal needs.

Milestone planning helps learners understand a project over time. They sketch a timeline and highlight key milestones or deadlines. Alongside this, they create a simple risk table: what could go wrong at each stage, and what can be done if it happens? Trainers support this by asking: What tends to derail me? When have I needed to adapt in the past?

Planning in this way also includes making space for life—acknowledging when energy dips, when other commitments arise, or when a break might be needed. Questions like “When will I need time off?” or “What helps me return to a task?” encourage learners to see risk not just as external disruption, but as part of the rhythm of being human.

Creative professionals rarely operate within fixed job descriptions. Most people working in the cultural and creative industries carry multiple roles at once—artist, communicator, project manager, care-giver, fundraiser, teacher, parent, peer. These roles aren’t always formal or paid, but they shape how time, energy, and attention are distributed.

Trainers guide learners in mapping the different roles they hold—not just in a single project, but across their wider practice and life. This might include professional functions like logistics, design, or outreach, as well as informal roles such as community support, family care, or emotional labour. Mapping these roles visually or narratively helps learners see the full picture of what they’re managing.

Once roles are mapped, learners are invited to reflect: Which of these roles energise me? Which stretch me too thin? Where am I carrying responsibilities that could be shared? Where do I need more support?

This is also a space to discuss delegation, asking for help, or rebalancing expectations. Trainers can encourage learners to name one role they would like to shift or share, and what might make that possible. Good planning isn’t about doing everything—it’s about recognising limits, valuing invisible work, and designing a way of working that is both creative and sustainable.

Clear communication supports every aspect of planning and management—whether coordinating a team, working with a partner, or maintaining one’s own clarity over time. But communication is not just about talking more. It’s about being intentional, respectful, and structured in how we share and listen.

Trainers begin by inviting learners to think of a real conversation or exchange they need to have related to their current project or practice. This could be a meeting with a collaborator, an update to a client, or a conversation with a partner about time availability. Learners draft a short, focused agenda for that interaction: What needs to be said? What do I hope will be clear by the end? What tone do I want to set?

They then practise giving a short “dashboard update”—what’s been done, what’s coming up, and what’s unclear. This format supports regular, transparent communication and can be used in team meetings, email check-ins, or peer collaborations.

Trainers can support group discussion with questions such as: What kind of communication makes me feel supported? When do I tend to over-explain, withdraw, or assume too much? What happens when expectations are unclear?

Importantly, communication is not a skill we simply master and move on from. It is a lifelong practice that shifts with our roles, relationships, and circumstances. Each person we communicate with brings different needs, boundaries, and expectations—and those may change over time. Learners are encouraged to notice how they adapt, what they find difficult, and how they can create space for mistakes, clarification, and repair. Being flexible in communication means being open to change—both in ourselves and in those we work with.

This training session invites learners to pause and examine the connection between how they spend their time and what they value—personally, creatively, and professionally. It provides space to notice patterns in how they work, where their attention goes, and whether their planning reflects what matters most to them.

The session begins with the trainer framing time not as something to be managed for efficiency, but as something finite and meaningful. Time becomes a reflection of decisions—what is prioritised, postponed, or unconsciously shaped by habit. Learners are given time to write privately in response to a series of reflective questions. These might include: What am I currently giving most of my time to, and does it align with what I care about? What kinds of work leave me feeling focused or fulfilled? What kinds of work drain me, even when they seem necessary? What have I been putting off that actually matters to me? What would it mean to plan for rest—not just recovery, but restoration? Where do I tend to say yes too quickly, and why?

After journaling, learners can move into pairs or small groups to share insights, if they feel comfortable doing so. The emphasis is not on comparing answers, but on opening space for different ways of thinking about time—especially in the context of long-term creative work. Trainers may support the session with a visual stimulus, a short fictional case story, or a quote that illustrates time pressure or disconnection. These are used not as content to analyse, but as gentle entry points into self-reflection.

The aim of this session is not to produce ideal schedules or perfect planning strategies. Instead, it supports learners in becoming more aware of how their use of time reflects their values, needs, and rhythms—and how they might plan with greater care for both their work and their life.
